INFORMATION ON THE PROTECTION OF PERSONAL DATA
1. Controller & purpose of processing
With this notice, we would like to inform you that SciCo (Science Communication Non-Profit Organization) acts as a data controller for the augMENTOR project, and consequently for this here augMENTOR | Augmented Intelligence for Training and Education (augmentor-project.eu) website, as the entity responsible for the project’s information dissemination. This means that SciCo is responsible for determining how it holds and uses your personal data. The data we have received from you, from the process of your subscription to our newsletter, the tracking process when you access our website, the web browsing tracking when you select within different kinds of cookies and the social media plugins if you select them, will be processed solely for the purpose of providing you with a smooth browsing experience, sharing documentation with you and for all related purposes in accordance with the applicable personal data protection legislation, including the General Data Protection Regulation 679/2016 (“GDPR”).
This notice describes what personal data SciCo uses about you, why it uses it, where it will disclose it and what your rights are.
2. Personal data processed
We will collect, store, and use the following categories of your personal data as listed below :

- information related to educational background

3. Purposes of processing your personal data and legal basis
Legitimate interests: It is in our legitimate interest to process some basic personal data in order to improve our services, perform administrative tasks, provide you with a more enhanced browsing experience through our website (e.g. the use of necessary cookies), and for business purposes (e.g. wherever we are aware of copyright infringement on our Site and it is in our legitimate interests as a business to identify those responsible). We take due care to balance our interests against your right to privacy.
Consent: The legal basis for the collection and storage of your personal data is “consent”. We will rely solely on the consent you provide us in order to process your personal data. You have the choice to control over how you want to use your data and for how long. You have the right to revoke your consent at any time and request the deletion of your data. The withdrawal of consent does not affect the lawfulness of the processing based on consent prior to its withdrawal.

We will use your personal data for the purposes for which we collected it, unless we reasonably believe that we need to use it for another purpose that is compatible with the original purpose. If we need to use your personal information for purposes not compatible with the above, we will notify you and explain the legal basis that allows us to do so. Please note that we may process your personal information without your prior notice or consent, in accordance with the above rules, where required or permitted by applicable law.
4. Disclosure of data to third parties
Your personal data will be accessible only by SciCo’s staff members who are entrusted with the performance of such tasks that it is necessary for them to have access to it, taking into account their role or hierarchical position. Such natural persons shall be bound by a duty of confidentiality and shall act in accordance with SciCo’s applicable Security Policy in order to prevent the loss, destruction, unauthorized access, or processing of data.
SciCo discloses, if necessary for the fulfilment of its contractual and legal obligations, your minimum required personal data to third parties – service providers (natural and/or legal persons) acting on its behalf as processors (e.g. service providers, technical/technological support companies). In these cases, your personal data are protected through relevant contractual terms in order for these third parties to process your personal data only for specified purposes and to comply with applicable data protection legislation (including the implementation of necessary technical and organizational measures). We do not allow service providers to use your personal data for their own purposes.
If the need arises SciCo will request additional personal data from you in order to disclose it to third parties as mentioned in this paragraph for the purposes mentioned above. In this case, this will include data whose provision:
(a) is required by applicable laws, regulations, or decisions of a competent authority; or
(b) is necessary for the management or performance of the employment relationship with you. In this case, only the data necessary for the management of the employment relationship will be requested from you or collected by third parties and communicated to the aforementioned persons/organizations.
5. Data security and retention time
The processing of data is carried out by electronic means or in paper form by natural persons (employees of SciCo or external collaborators) in the context of their duties and under the obligation of confidentiality. We avoid as far as possible the collection and use of personal data on paper. If required, relevant documents are always stored in locked facilities.
SciCo, in the context of protecting personal data from any form of accidental or unlawful processing, loss or unauthorized access, applies a series of appropriate technical and organizational measures (e.g. physical and electronic access control, authorized user access to electronic systems, etc.), has adopted an internal Information Security Policy, trains its staff appropriately, and utilizes a series of technologies that guarantee the security of your data (e.g. encryption, etc.)
Your personal data will be retained in our database as long as you continue to provide us with your consent and until you revoke it. If you do so, we ensure you that we will take all the reasonable and appropriate steps to ensure that we destroy your personal data securely and in accordance with applicable legislation and SciCo’s internal procedures and policies.
6. Data transfer to countries outside the EU.
When your personal data are transferred to countries outside the European Union and the European Economic Area in the context of providing you our services (e.g. subscription to our Newsletter or using the social media plugins), SciCo is working with entities that have put in place appropriate safeguards to ensure data protection and security of such transfers, or has concluded agreements with recipients in third countries to ensure the security of such transfers (e.g. Standard Contractual Clauses or Binding Corporate Rules).
7. Rights & Exercising them
In accordance with applicable legislation and under certain conditions, you have the following rights in relation to the processing of your data by SciCo:
- Right of access, i.e. to make a request to find out whether we process data and, if so, to receive a copy of the personal data we hold about you.
- Right of rectification, i.e. to request the correction or completion of any incomplete and/or inaccurate information,
- Right to erasure, i.e. to request, under certain conditions, the deletion of your data,
- Right to restriction of processing, i.e. to ensure, under certain conditions, that SciCo restricts the processing of your data,
- Right to object, i.e. to object, under certain conditions, at any time to the processing of your data based on our legitimate interest,
- Right to data portability, i.e. to request the data you have provided to us in a structured, commonly used and machine-readable format, if this is deemed technically feasible.
- Right to lodge a complaint with the supervisory authority. If you believe that we are not complying with the legislation on personal data protection, you have the right to lodge a complaint with the competent supervisory authority (in Greece, the Data Protection Authority | Kifissia 1-3 | P.K. 115 23 | Athens | tel. +30 210 6475600 |email: [email protected]).
- Right to withdraw consent at any time in cases where the processing of your personal data is based on consent.
We will respond to your request immediately and within one month at the latest. This period may be extended by two more months if necessary. In any event, we will inform you as soon as possible, and in any case within one month of the date of your request, of the progress of your request and the reason for any delay in complying with it. Where your requests are manifestly unfounded or excessive, in particular because of their repetitive nature, SciCo may either impose a reasonable fee, taking into account the administrative costs of providing the information or of communicating or carrying out the requested action, or refuse to comply with your request.

8. Notification and Amendment of this update
We may modify or update this privacy policy from time to time. If we make any revisions that materially change the ways in which we process your personal data, we will notify you of these changes before applying them to that personal data. TERMS OF SERVICE FOR POLICY MAKERS
Project information: Augmented Intelligence for Pedagogically Sustained Training and Education

Dear user,
augMENTOR is working on a new way of teaching and learning that uses emerging technologies. This new approach helps learners develop important skills and prepare for the future. It uses a special Artificial Intelligence (AI) boosted toolkit to offer recommendations and information about learners’ progress. This way, we can help learners, educators, and decision-makers work together to make education better for everyone. We use our toolkit with four different pilot sites to test its versatility and adaptability to diverse educational settings.
Please review this information and feel free to ask as many questions as you may have before deciding whether or not to participate. Please note that you have the right to withdraw at any time without justification and with no consequences for you. To consent, you will need to click the tick-box at the bottom of the page where you requested an account. By submitting this form, you acknowledge and agree to the following terms regarding your account request:
1. Consent
Submitting this form constitutes your informed consent to the data uses described above. We will not use your personal information for any other purpose without your explicit consent.
2. Account Access
Upon successful verification, you will receive an email with instructions on how to access your new augMENTOR account.
3. Users’ right to request the deletion of the account
You can delete your account at any time without giving a reason. In this case, you can request to delete your account through the ‘Settings’ section in the platform and we will take care of all the necessary steps to remove your data. If you delete your account, we will not use data from your account.
4. Confidentiality
We will not be sharing information about you with anyone outside of the project team. The personal data that we collect from this research project will be kept private.

Answer to the question ‘Why do you wish to make a Policy maker’s account in augMENTOR?’ (to ensure eligibility for making a Policy maker’s account)
Registering in augMENTOR will be performed through single-sign on, from a service provider (Zitadel, or any other): thus, augMENTOR will have access to the user’s information, chosen to be shared by the used service.
6. How will your personal information be kept safe?
augMENTOR will adhere to data privacy, as regulated by the General Data Protection Regulation (GDPR). All personal information you provide is stored in a secure, encrypted environment. Access to this data is strictly limited to authorized personnel who require it for the sole purpose of verifying your eligibility. We employ industry-standard security measures to safeguard your information against unauthorized access, disclosure, alteration, or destruction.
7. How will your data be stored and transferred during the project?
We only collect the information we really need, and we’re careful to follow the rules to keep it safe, as required by the data minimization principle Article 5(1)(c) of the GDPR. We will collect the data mentioned above through informed consent forms. This data will be stored in Novelcore’s private server. Name, surname and e-mail address will be used to create an account for you using Zitadel.
Anonymised data from the augMENTOR platform will be shared with the augMENTOR project team. When data is used and presented in reports or sharing information, no one’s personal details will be identified and shown.
8. How will your data be used?
The information you provide is collected for a specific and limited purpose.
For Account Creation: Your Name, Surname, and Email Address will be used to create your user account on the augMENTOR platform. We use Zitadel as our identity and access management system to securely manage these credentials.
For Eligibility Verification: Your Professional Title, Organization, and your response to “Why do you wish to make a Policy maker’s account?” will be used exclusively to verify that you meet the eligibility criteria for a Policy Maker’s account. This information is a temporary part of the application review process and will not be stored with your account after your eligibility has been confirmed.
None of the personal details we collect about you will be used for any research purposes.
9. How will they make sure your information and private details are kept safe and what happens to them when the project is finished?
All data containing private information will be destroyed upon completion of the respective study/research task. In any case, all personal data will be destroyed at the end of the project (12/2025), and only anonymous or non-identifiable data will be retained for five years after the end of the project (December 2030).
10. What happens if something goes wrong?
The Ethics Manager of the project, Ms Georgia Livieri (UNISYSTEMS, [email protected]), will oversee that the procedures run smoothly. In case of any non-compliance, Nikos Alimpertis, Novelcore, email: [email protected] will decide the timeline and mitigation measures, so as to take all the necessary actions in a timely manner and ensure full compliance with the legal and ethical requirements of the project. In all cases, all non-compliant actions will be immediately suppressed or suspended, and the partners will implement a mitigation action within 5 working days.
